Guidelines on Proctor Selection and Approval

  • Who is a proctor?
    A proctor is someone who will watch you take a test or an exam, and make sure you do not cheat. The proctor must be a person no one can accuse of being willing to let you cheat on a test.
  • Who is a good Proctor?
    Someone who is good with technology, has a high-speed internet connection, and a computer capable of playing YouTube videos. The proctor will need to generally keep an eye on you for about a half-hour or more and then copy and paste your answers into an email that they will send to your instructor.

Acceptable Proctors:

  • Certified librarians (school or public)
  • Clergy able to be identified with a specific temple, synagogue, mosque, or church
  • High school, college or university administrators and instructors
  • Officers of a corporation, correctional facility, or military installation,
  • Graduate teaching assistants
  • Testing Centers
  • School administrators, teachers or counselors
  • Work supervisor or administrator

Parent (*If you are under 18 and in a “home-school” program you can use your parent or legal guardian who is responsible for homeschooling you. If you are a secondary school student using a parent is “okay” but not quite as good as the above choices.)

Sample List of Unacceptable Proctors:

Fellow students at a higher class or the same level as you, colleagues, relatives, employees, friends, peers, or pets.

Instructions for students

  1. Find someone who is qualified to be your proctor (see the “Acceptable proctors” section above).
  2. Show your proctor these “instructions for students” and the “instructions for proctors” section.
  3. Your proctor should contact StellaPride Academy to make arrangements to administer your exam.
  4. Arrange a time and place to take your exam with your proctor. Please allow a week for your proctor to contact StellaPride Academy and receive instructions.Beyond that, any time that works for both you and your proctor is suitable; StellaPride Academy exams are available 24/7. You should allow at most two hours to take your exam, plus some time to sign in and open the exam.
  5. Review exam guidelines provided for the exam.
  6. Before your scheduled exam, we recommended contacting your proctor to make sure they have been in touch with StellaPride Academy and are ready to monitor your exam. On your test day, your proctor will unlock the exam for you.
  7. The proctor must be at least 21 years old.
  8. The proctor should not be a relative of the student, a fellow student or an applicant, cannot have a conflict of interest or have any vested interest in the student’s grade or performance on his/her exam.
  9. The proctor must have adequate and reliable access to the Internet, including email services.
  10. It is the student’s sole responsibility (guardian / parent’s if the student is below 18 years) to inform the office of the administrator of SPA any changes to the proctor’s contact information.
  11. StellaPride Academy has the right to contact the proctor directly in order to validate his/her identity and to assure that he/she meets all the requirements. If SPA rejects a proctor, the student/ parent will be notified accordingly and it will be the student’s sole responsibility to provide another proctor.
  12. Rejecting a proctor is at the sole discretion of SPA. The school has no obligation to provide reasoning for the decision.
  13. It is the student’s/ guardian’s/ parent’s sole responsibility to make sure that his/her proctor is available during the final exam period. A scheduling problem with the proctor will not be considered a legitimate reason for extending the exam period or to request a makeup exam. SPA will send the proctor a reminder a week before the exam/ Test.
  14. It is the student’s/ guardian’s/ parent’s sole responsibility to coordinate with the proctor the date, time and location in which the proctored exam will take place. A student will not be allowed to start a proctored exam without the presence of the proctor.
  15. The proctored exam must be taken within the stipulated time period.
  16. It is the student’s/ guardian’s/ parent’s sole responsibility to have all necessary means required for taking the proctored exam (e.g. a computer with internet access).
  17. The proctor should receive an email from SPA with the student’s/ guardian’s/ parent’s personal details and a code to access the final exam if given. It is the student’s sole responsibility to verify that their proctor received such an email.
  18. If the proctor did not receive such an email at least three (3) days prior to the commencement of the exam period the student must contact the office of the Administrator (talktostellaprideacademy@outlook.com) immediately and report that his/her proctor failed to receive the email.

Instructions for proctors

  1. Arrangement between students/ parents and the proctor will be reached on a time and place to take the exam with your proctor.
  2. Please allow a week for proctors to contact StellaPride Academy and receive instructions.Beyond that, any time that works for both you and your proctor is suitable; StellaPride Academy exams are available 24/7. You should allow at most two hours to take your exam, plus some time to sign in and open the exam.
  3. At least one (1) week prior to the first scheduled exam proctoring sessions, potential proctors should complete the  StellaPride Academy In-Person Proctoring Setup form and send a copy of their photo ID (International passport, Driver’s license or Voter’s card).
  4. The proctor should receive an email from SPA with the student’s/ guardian’s/ parent’s personal details and a code to access the final exam if given. It is the student’s sole responsibility to verify that their proctor received such an email.
  5. If the proctor did not receive such an email at least three (3) days prior to the commencement of the exam period the student must contact the office of the Administrator (talktostellaprideacademy@outlook.com) immediately and report that his/her proctor failed to receive the email.
  6. Once approved as an in-person proctor, make sure to carefully read the In-Person Proctoring Instructions for the examination.
  7. Upon completion of every exam proctoring session, fill out, sign, and return the Proctor’s Responsibility Form.
  8. Review exam guidelines provided for the exam.

Approval of Proctors

  1. Students must identify a proctor during online registration for test or examination that require a proctor by entering the following information of the proctor:
    1. First and last name.
    2. Email address.
    3. Contact information (telephone number and place of residence).
    4. Valid I.D card (International passport, Drivers’ License or Voter’s card)
    5. Relationship with the student.
